Position Summary

We are looking for an Office Assistant to help the General Manager, Shop Manager and Project managers in our Fabrication shop. We work in entertainment facilities, houses of worship and corporate venues, nationwide. The person in this position would report to the General Manager and Shop Manager. The Office Assisant will be a valuable member of the fabrication team. This individual will be responsible for organizing project data, tracking project progress, gathering data, estimating projects, communicating with the team, scheduling, note taking, answering and making calls, receiving mail and tracking supplies. The individual should always be striving to improve their education, skills and efficiency. The person should be an excellent communicator and be a high-capacity self-starter. The ability to follow directions, solve problems and work with others as a team and staff alike is a must.

Minimum Job Requirements

  • Prefer Bachelor's degree in construction, business or a related field
  • 2-5 years of experience in a related field
  • Proven ability to solvd problems creatively
  • Familiarity with office organization software, tools, methodologies, and best practices

  • Ability to listen well

  • Excellent analytical skills

  • Strong interpersonal skills and extremely resourceful

  • Ability to take instruction from multiple personalities.

What does this job entail?

  • Organize project data from start to finish so that all team members can access information from current and past projects.
  • Data entry as needed for efficient office organization
  • Estimate project costs
  • Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored
  • Schedule meetings, installations, trips
  • Correspond with client
  • Maintain office, snack supply inventories
  • Support office staff as needed

Knowledge, Skills & Abilities

  • Excellent communication skills

  • Ability to effectively listen and communicate with multiple personalities
  • Proficient in Microsoft Office Suite
  • Good common sense and the ability to problem solve
  • A good team player
