As you walk in the front door of Paragon 360 or call them on the phone, the office coordinator will be the welcoming voice that greets them and directs them to where they need to go.

Reporting Relationship

The Office Coordinator will be an integral part of Paragon 360’s team. The individual will work alongside and in conjunction with all staff members and will report to the Executive Assistant.

Position Summary

The Office Coordinator will be responsible for greeting and directing customers in person and on the phone. This individual will be managing a multiline phone system for multiple companies within our family of companies. This person should be socially focused and comfortable in a fast-paced environment and be great at multitasking. The individual should also have some experience with or knowledge of travel booking and light accounting work. The individual should always be striving to improve their skills and efficiency. The person should be an excellent communicator that can work well in high-stress situations, be a high-capacity self-starter with excellent client skills. The ability to follow directions, solve problems and work with others as a team and staff alike is a must.

Minimum Job Requirements

  • Four to Five years of professional office experience
  • Valid Class E driver’s license and good driving record
  • Must be a minimum of 21 years of age
  • Proficient in basic computer skills and use of standard Microsoft office software such as Office 365, word, excel, outlook, power-point, and teams.
  • Proficient in use of multiline phone systems
  • Friendly, positive demeanor with a sense of humor.
  • Excellent organizational skills with impeccable follow-through skills
  • Ability to multitask
  • Team player who values and adds to an excellent team culture

What does this job entail?

  • Clerical Office Work: answering phones; greeting and directing guests; assisting with travel booking and coordination; making copies; retrieve and distribute mail; receipt scanning for accounts payable; light accounting assistance; hospitality for meetings and guests; special projects for company events and guests visits.
  • Coordination and collaboration with staff, clients and vendors as required. • Responsible for keeping the front office area and conference rooms clean, straightened, and ready for guests.
  • Assist other office staff as needed.
  • Other duties as assigned.

  • Leadership skills: problem-solving in high stress environments; verbal and written communication skills; comfortable delivering frequent direct written and oral feedback; time management;
  • Knowledge of or experience in travel industry
  • Knowledge of or experience in audio, video and lighting industry or construction industry

What are the physical demands of the job?

  • Must be able to sit, stand and walk for long periods of time on a daily basis.
  • Must be able to kneel, bend, stoop, push/pull, crouch and balance for short periods of time on a daily basis
  • Must be able to lift and carry in excess of 25 pounds
  • Must be able to use hands for grasping and fine manipulation
  • Must be able to read, write and speak with a positive attitude with the ability to recall, remember and work well under stress for long periods of time on a daily basis.
